Getting started and accounts 7 articles
GS-101Do I need an account to use PlannerWick?
No. Every tool works straight away in your browser without signing up. Your work is kept on that device while you plan.
Sign in only when you want to save plans to your account and open them on another phone or computer, send vendor links, or share client pages.
GS-102How do I sign in? Is there a password?
There's no password. Press Sign in (or Save), type your email and press Email me a code. Enter the 6-digit code from the email.
- The code works for 10 minutes and allows 5 tries.
- A new email address creates a free account automatically.
- You stay signed in on that device for up to 60 days.
GS-103I didn't get the sign-in code. What should I do?
- Wait a minute, then check spam, junk and the Promotions tab. The email comes from PlannerWick <[email protected]>.
- Check the email address for typos.
- Press Use another email and try again. To prevent abuse, one email can get up to 6 codes an hour, so if you've asked several times, wait an hour.
- Work email blocking it? Add [email protected] to your safe senders.
Still nothing? Email [email protected].
GS-104Where are my saved plans?
Open your account circle at the top right and choose My events. Every timeline, multi-day plan, floor plan, budget and saved layout is listed there, with search and filters. Click one to open it.
Plans you made before signing in stay in that browser until you save them; press Save in the tool to move them to your account.
GS-105How many plans can I save?
Up to 300 plans per account, counting timelines, multi-day plans, floor plans, budgets and saved layouts together. Delete old ones from My events to make room.
GS-106My plan changed on another device. Which version wins?
Plans autosave as you work. If the same plan was changed somewhere else since you opened it, PlannerWick warns you instead of overwriting, and you choose which version to keep. Reload the page to see the latest saved version.
GS-107How do I switch between light and dark mode?
Use the sun, moon and screen buttons at the top right: light, dark, or match your device. On a phone only the current one shows; tap it to move to the next. You can also change it in the accessibility menu.
Timeline 8 articles
TL-201How does Build my timeline work?
Describe the event in plain words: who, date, venue and city, ceremony time, guests and any extras. Quick rules read it instantly and fill the form. AI then reads the same words and fills only what the rules missed, marked AI added. Anything the timeline can't hold, such as an event on another day, is listed to add by hand.
The AI never adds things you didn't say, and dates in the past are ignored. See the guide.
TL-202Which events can the timeline plan?
Weddings, quinceañeras and galas, with options for church or civil ceremonies, a separate ceremony venue and travel, first look, cultural traditions, cocktail hour, plated, buffet or family-style dinners, toasts, dances, cake, send-offs, and big community celebrations. For conferences and events over several days, use the Multi-day planner.
The Templates page has 40+ ready-made timelines, including Indian, Nigerian, Jewish, Mexican, Filipino, Persian, Greek Orthodox, Nikah and tea ceremony weddings.
TL-203How do I move or lock a time?
Click any row in the timeline to open it. Use the buttons to move it earlier or later, change how long it lasts, or lock it. A locked time never shifts when you change other details, and a check confirms locked times are kept.
TL-204What do the 8 checks look for?
- Every block has a valid start and end.
- Everything fits inside venue hours, including setup and breakdown.
- Locked times are kept exactly.
- No person or vendor is double-booked.
- Order and travel time between places are respected.
- Golden hour portraits sit inside golden hour.
- Hair and makeup is long enough and ends 30+ minutes before the first look.
- The couple stays out of sight while guests are seated.
A failed check says what to change, and clicking it takes you to the row.
TL-205Where do sunset and golden hour times come from?
They're calculated for the venue's city and the event date, using the city's location and time zone. Golden hour is when the sun is low and the light is soft, roughly the hour before sunset. The Sunset tool shows the same for any city and date, plus blue hour.
TL-206How accurate is the weather watch?
Until about two weeks before the event, it shows what's typical for that date and city from the last 10 years of records: average high and low, and how often it rained. Closer to the date, the live forecast takes over. Use it to decide on a rain plan, shade or heaters, not as a guarantee.
TL-207What is the photo shot list?
A checklist built from your event: getting ready, first look, ceremony, family groups, couple portraits and reception moments. Edit it, add family groups by name and tick shots off. Photographers see it on their vendor link.
TL-208What is “Add a live photo wall”?
A button that opens Pixloud, part of the Wick family, with your event's name, date and guest count filled in. Guests scan a QR code and their photos appear live on a screen at the event. It's optional and separate from PlannerWick.
Floor plan, seating and seat finder 7 articles
FP-301How big a room or guest list can the floor plan handle?
From 10 to 10,000+ guests. Draw my room sizes the room, tables, aisles, dance floor, stage, bars and check-in for the guest count and kind of event, and you can change the width and length in feet.
FP-302How do I add my guest list?
On the Guests tab, either:
- paste names, one per line:
name, group, table(group and table are optional); - press Upload CSV with a file from Excel or Google Sheets (get the template); or
- press Try a sample to practice.
Then press Auto-assign seats. Guests in the same group sit together, and anyone with a Table value is seated there.
FP-303How do guests find their seat with the QR code?
- Open the Find my seat tab and press Publish seat finder.
- Print the QR code for the entrance, or show the check-in screen on a TV or tablet.
- Guests scan it, type their name and see their table on the map.
Guests' phones remember who they are, so if you move them they see “Your seat was just changed”.
FP-304I moved a guest. How fast do phones update?
Changes are sent automatically a few seconds after you stop editing (at most every 15 seconds), and guests' phones check every 45 seconds and whenever they reopen the page. Allow about a minute in total. There's no Update button to press.
FP-305Can I save a room layout to reuse for other events?
Yes. Press Save this layout on the Room tab (or in Save or export). Give it a name, venue, labels and notes, and choose whether to include the guest list. It appears under My saved layouts with a picture; Use this layout starts a new plan from it, and one Undo goes back.
Signed out, layouts are kept in your browser and move to your account when you sign in.
FP-306Can I use the floor plan with a keyboard?
Yes, partly. Select an item, then use the arrow keys to move it (Shift for bigger steps), R to rotate, Delete to remove, Ctrl+D to duplicate and Ctrl+Z to undo. To avoid drawing by hand, use Draw my room, Auto-assign seats, and a CSV with a Table column.
FP-307What's the difference between Seating chart and Floor plan?
Seating chart is the quick one: paste names, get tables, print. Floor plan draws the actual room, seats guests at specific seats, and runs the live QR seat finder. Use the floor plan when the room layout or a seat finder matters.
Multi-day planner 5 articles
MD-401What is the Multi-day planner for?
Events across several days with many rooms and meals: conferences, conventions, retreats, reunions, festivals and week-long weddings. Plan every day, room and function, and see food and drink for the whole event.
MD-402What do the multi-day checks catch?
- Two functions in the same room at the same time.
- A room too small for its guests and setup.
- A room changing setup (for example theater rows to round tables) without enough time for the crew.
- Long stretches with no food.
MD-403How is the food and drink estimate worked out?
Each meal, snack break, drinks service and reception is counted for its guests, with vegetarian, vegan, gluten-free, halal and kosher numbers from your dietary percentages. The cost uses a typical price per person for each type, which you can change to your caterer's prices. It's an estimate to plan with, not a quote.
MD-404Can I import my schedule from Excel?
Yes. Press Import schedule (CSV) under the schedule. Only Start and What are needed; Day, Date, Room, Type, Setup and Guests are optional. It replaces the plan on screen, and you can undo it. The Schedule (CSV) download uses the same columns, so you can export, edit and import again. Get the template.
MD-405Can I send a room to the floor plan?
Yes. Each function has a floor plan icon. It opens the Floor plan with that room's size, setup and guest count, ready to draw.
AI writer and client pages 7 articles
AI-501What does the AI writer do?
Two things: it drafts replies to client inquiries in your voice, and writes proposals from your own services and prices. You can share a proposal as a private client page that the client approves online. See the guide.
AI-502Will the AI make up prices or promises?
It's instructed to use only what you write in Your business, the services you list and your notes, and never invent names, titles or extras. Prices, totals, deposits and the payment schedule are calculated by PlannerWick in code, never by the AI. Still, read every draft before you send it.
AI-503Is there a limit on AI drafts?
Yes, to keep the service free: up to 15 AI drafts a day per account, and a shared daily limit across the site that resets at midnight UTC (6 pm or 7 pm in Houston). The timeline's AI reader has its own hourly and daily limits. If you reach a limit, everything else keeps working and the quick rules still fill your timeline.
AI-504How does the client approve a proposal?
- Press Share with client, then copy the link or press Email it to the client.
- The client opens the private page, reads the proposal and payment schedule, types their full name and ticks I accept.
- They press Approve proposal. You get an email, and the proposal is locked so it can't change.
Proposals past their “valid until” date can't be approved; make a new one.
AI-505Does PlannerWick take payments?
Not yet. The proposal shows the deposit and balance, and a How the client pays line where you add your own method, such as Zelle or a card payment link. Online payments may come later through EntryWick.
AI-506Who does the client email come from?
From “Your business name via PlannerWick”, sent by [email protected]. When the client replies, the reply goes to your email address. You can email up to 50 client pages a day.
AI-507Can the client see their timeline too?
Yes. On a saved timeline, open the Client page panel and link it to the client's page. The client's “Your day” section updates within a few seconds of any change.

Guest lists (CSV or text) into the Floor plan and Seating chart, and schedules (CSV) into the Multi-day planner. Download the templates. Files are read in your browser.
IO-702My accents look wrong after importing a CSV.
Save the file as CSV UTF-8: in Excel choose File, Save As, then “CSV UTF-8 (Comma delimited)”. Google Sheets downloads are UTF-8 already.
IO-703How do I print or save as PDF?
Press Print or PDF, then in the print window choose your printer, or “Save as PDF” as the destination. Printouts leave out buttons and menus, and the AI proposal prints as a clean document.

Yes. Add to calendar downloads a calendar file that Google Calendar, Apple Calendar and Outlook can open, with every row as an event.
IO-705What spreadsheet downloads are there?

Privacy, security and data 5 articles
PR-801Is my event information private?
Without an account, nothing you type is stored on our servers; it stays in your browser. If you sign in and save, plans are stored with Cloudflare and only you can open them while signed in. Things you share on purpose, such as vendor links, client pages and seat finders, can be seen by people with the link.
PR-802Is my text used to train AI?
No. Text sent to the AI features is processed to write the draft and then dropped. We only record that an AI feature was used and when, to keep usage fair.
PR-803How do I delete my data or account?
Open My events. Delete any single plan, or press Delete my account to remove the account and every plan, vendor link and client page in it. It's immediate and can't be undone. Download anything you need first.
PR-804What cookies do you use?
One cookie keeps you signed in, one remembers your cookie choices, and, only if you allow it, one records which partner sent you. Your display settings and work in progress are kept in your browser's storage. No advertising cookies. See the cookie policy or open Cookie settings at the bottom of any page.
PR-805Do you sell my information?
No. We don't sell or share personal information for advertising, show no ads and use no advertising trackers. We honor the Global Privacy Control signal. Details are in the privacy policy.

Troubleshooting 5 articles
TS-1101The page looks old after an update.
Reload the page. If it still looks old, do a hard refresh: Ctrl + Shift + R on Windows, Cmd + Shift + R on a Mac, or close and reopen the tab on a phone. The browser tab icon can take a day to update.
TS-1102My work disappeared.
Without an account, work is kept in that browser only. It's lost if you clear site data, use a private window, or switch browser or device. Sign in and press Save to keep plans safely, and check My events. In a tool, Ctrl + Z undoes recent changes.
TS-1103The AI says it's busy or reached a limit.
The daily AI limit was reached, either yours or the shared site limit. It resets at midnight UTC. Meanwhile the timeline's quick rules still work, and you can write the reply or proposal yourself in the same boxes.
TS-1104The city search can't find my city.
Type the city name only, without the state or country, then pick the right one from the list. Small towns may be listed under a nearby city. If search is down, enter the latitude and longitude by hand under the city field.
TS-1105A guest's phone shows the old seat.
Give it a minute: changes reach phones within about a minute. Ask the guest to pull down to refresh or reopen the link. If they searched as someone else, Not you? Search again clears it.
