At 10,000 guests, the evening is about crowd flow: gates, food, the main stage and getting everyone out safely at the end.
What to plan for
- Plan about 100 food stations and spread them across the space.
- Work with the venue and local authorities on security, first aid and crowd plans.
- Open one check-in lane for about every 250 guests, and post table maps at every entrance. Find my seat lets guests look up their table on their phone.
- Book rentals, staging and AV for the day before, or double the crews. A room this size takes much longer to set.
- Plan parking, shuttles, security and first aid with the venue early. Big crowds arrive in waves.
